Executive Administrator
DESCRIPTION
This position is for a part-time Executive Administrator for the non-profit Institute for Mindful Leadership (www.InstituteforMindfulLeadership.org). The Executive Administrator will work directly for the leadership team and will handle multiple responsibilities including the following:

- Administration and management of all areas of executive support.
- First point of contact for clients and instructors.
- Plan and schedule meetings, conferences and appointments for the executive team.
- Actively participate in projects and meetings. Responsible for distributing agenda, compiling and distributing meeting notes, and setting up related follow-up meetings.
- Travel arrangements and preparation of itineraries and coordinating of logistics.
- Draft letters and documents; and collect information.
- Prepare, edit and distribute correspondence and meeting notes.
- Organize and maintain files and records.
- Support Open Enrollment Events
- Investigate appropriate venues
- Work with Instructors and venue to support event
- Doodle polls, Zoom or Skype Video calls
- Support Team Calendar/Emails/Monthly meetings
- Create Meeting Minutes for Instructors/Board
- Work with Marketing to create Monthly Newsletter
- Support Executive Directors Travel and logistical needs
- Modify and distribute Form letters for retreats and workshops
- Maintain Constant Contact mailing list
MINIMUM QUALIFICATIONS
- Excellent interpersonal skills
- Strong computer skills, especially Office 365.
- Bachelor’s degree.
- 5 to 10 years of executive-level administrative experience
- Ability to be flexible, manage time efficiently and prioritize deadlines.
- Strong organizational skills and proven ability to work independently.
- Strong professional maturity and judgment.
- Excellent attention to detail
- Strong self-starter with a “can do” attitude in addition to a flexible approach.
- Enthusiasm for the mission of the Institute
JOB SUMMARY
- Part-Time Employee 18-20 hours
- Location – Franklin Lakes NJ (periodically) and Telecommute
- Compensation – commensurate with experience
